Customers and guests
Bring customers and external collaborators into the right boards without turning every invite into a full team seat.
Overview
Saku supports two collaboration models for people outside your core team:
- Board-only guests: ideal for customers, clients, and external collaborators who only need access to specific boards.
- Full team members: ideal for colleagues who should join the workspace and work across many boards.
How to invite customers to boards
- Open the board the customer should access.
- Open the Board Members panel.
- Enter the customer's email address and choose a board role.
- Click Send Invite.
- In the invite type chooser, select Board Only (Free).
That invite gives them access only to the specific invited board, plus any other boards you explicitly invite them to later.
Board-only guest vs team member
- Choose Board Only (Free) for customers and people who should only see invited boards.
- Choose To Your Team (Uses a Seat) for internal teammates or long-term collaborators who need wider workspace access.
- Board-only guests do not become full team members and are tracked separately in team management.
- Team invites inherit access to team-visible and public team boards, in addition to anything you explicitly invite them to.
What customers can do
A customer's capabilities depend on the board role you assign:
- Viewer: read-only access to the board.
- Editor: can move cards and add comments.
- Admin: can manage the board and its members.
In most customer-facing cases, start with Viewer. Upgrade to Editor only if the customer should actively collaborate inside the board.
Managing guest access
Guest access can be managed in two places:
- Board Members: change board role, remove access, or review pending invites for a specific board.
- Team management: review Board-only guests across the workspace and see which boards each guest can access.
This makes it possible to keep customer access narrow and auditable without pulling them into the full internal workspace.
CRM verified collaborator links
On Pro and Max, you can link a CRM contact to a verified customer collaborator after they accept a board invitation. A matching email on the contact record only suggests the recipient; it never grants access or confirms identity by itself.
- From a contact workspace, choose specific boards and roles, then send an invite with a one-time claim link.
- The recipient signs in with the invited email, accepts board access, then confirms the link to the named contact.
- Unlink removes the CRM metadata only; use board or team settings to revoke underlying access.

Recommended setup for client boards
- Make the board Invite only rather than public if the work is client-specific.
- Invite customers as board-only guests.
- Use Viewer role by default.
- Use Public visibility only when a link-based, read-only view is genuinely what you want.
