Sharing and access
Control who can see a board, who can edit it, and how to share links safely.
Overview
Board access in Saku has two layers: visibility and membership. Visibility decides the broad audience for the board. Membership decides which specific people can access or manage it.
Visibility options
- Only me: only the creator can access the board. Use this for private planning or early drafts.
- Invite only: only people explicitly added to the board can access it.
- Team / Entire team: all members of the team can view the board.
- Public: anyone with the link can view the board in a read-only public view.
You can change visibility in board settings under Privacy. Changing visibility does not rebuild the board or remove its cards.
Sharing boards
You can share a board by sending its link. The effect depends on the board's visibility:
- For Public boards, anyone with the link can open the board without being added as a member. This view is read-only.
- For Invite only, Only me, or Team boards, the link is still useful as a direct URL, but the recipient must already have access.
Public boards are best for lightweight status sharing. If someone needs to comment, move cards, or participate in the workflow, invite them as a board member instead of relying on a public link.
Managing board members
Open the Board Members panel from inside a board to see who has access, invite new people, and change board roles.
- On Invite only and Only me boards, you can add existing team members individually.
- On Team boards, everyone in the team has access by default, and removed members can be added back from the same panel.
- You can invite a new email address directly from the board and then choose whether that person should be a board-only guest or a full team member.
- Pending invitations remain visible until accepted, canceled, or expired.
Board roles
- Viewer: can see the board only. They cannot move cards or add comments.
- Editor: can view the board, move cards, and add comments.
- Admin: full board access, including managing the board, inviting or removing members, and changing roles.
Use board roles for collaboration inside one board. Use team roles only when the person should help manage the entire workspace.
Note sharing and access
Note permissions are separate from board visibility. A note in your personal vault stays private even if you link it to a team CRM record or card. Team members only see it if they already have note access, or if you grant it.
- Vault access: personal vault notes are yours; team vault notes follow team vault rules.
- Sharing tab: in note details, see full access, read only, and title-only audiences; invite by email; manage public links.
- Email invites: invite someone who is not on Saku yet. They sign up for their own free workspace and receive access to that note only.
- Public links: read-only URL for people outside Saku (optional password), managed from the Sharing tab.
- Access requests: team owners and admins can request access to locked personal notes linked on CRM or cards; you approve from the note's Sharing tab or Notes → Access requests.

Recommended patterns
- Start sensitive boards as Invite only, then widen access if needed.
- Use Public only for read-only sharing.
- Use Viewer for customers who only need visibility.
- Use Editor when an external collaborator should comment or move work forward.
- Keep sensitive meeting notes in a personal vault until you are ready to share. Link them to CRM for context, then grant access or move to the team vault when appropriate.
